Getting started

Sign in, create a space, add pages and folders, and find anything again with search.

Sign in

Sign in with the email and password your organisation gave you. Your account and your organisation's workspace are managed centrally, so you use the same sign-in across the Alara apps. The first time, a short tour offers to show you around; you can skip it and restart it later.

Create a space

    Open All spaces

    Choose All spaces in the sidebar.

    Create one

    Select New space, give it a name, and optionally an emoji and a short description of what belongs in it.

    Switch between spaces

    The space picker at the top of the sidebar jumps between spaces. The page tree below it always shows the current space.

Pages, folders and whiteboards

Use the + next to a space or page to add something inside it:

  • Page: a document you write in the editor.
  • Folder: a container for pages, with no content of its own.
  • Whiteboard: a canvas for diagrams. See Whiteboards.

Pages save automatically while you type; Ctrl+S saves at once. The panel on the right of a page holds its comments, versions and files. It opens by default on wide screens and remembers the tab you used last.

Organise the tree

  • Drag a page onto another to nest it, or between two to reorder.
  • Rename a page by editing its title, or from its menu in the tree.
  • Star the pages you use often; they appear under Starred in the sidebar.
  • Save a page as a template, then start new pages from it in Templates.

Find anything

Press Ctrl+K (⌘K on a Mac) to open the command palette: jump to any page or space, or run an action. Search looks through titles and page text across every space, and can be narrowed to one space or one label. Recent lists what you opened last.

Trash

Deleting a page moves it, and everything under it, to the space's trash. Restore it from there at any time until it is removed for good after the retention period your admins set (30 days unless they changed it).

Keep milestones as versions
Save a version from the page's Versions tab before a big change. If an edit goes wrong, restore that version: restoring never deletes anything, it adds the old content back as a new version.

Archive or delete a space

An empty space can be deleted from the … menu on its card. A space that still has pages is archived first, and only an admin can archive one.

  • An archived space stays readable by everyone, but nothing in it can be changed: no edits, new pages, comments, uploads or moves. A banner on every page says so.
  • It leaves the space picker, the Spaces list and search. Find it under Archived on the Spaces page, with the date it will be deleted.
  • An admin can restore it at any time before then, exactly as it was, or delete it permanently straight away (typing its name to confirm).
Deleted after the archive policy
Archived spaces are deleted for good, with every page, version, comment and file in them, after the archive policy in Settings → Archive policy (90 days unless your admins changed it). The space's creator and the admin who archived it are told 7 days before.
